As an Executive Assistant, you will play a pivotal role in keeping the Enterprise Customer Success organization running smoothly and efficiently by providing high-level administrative support to executive leadership. Operating as a proactive and highly organized partner, you will provide primary administrative support to the Vice President of Enterprise Customer Success, Americas, while also supporting an additional Vice President. You will manage complex calendars, coordinate travel logistics, assist with team-building events, and drive operational efficiency in a fast-paced environment. By leveraging exceptional communication and multitasking capabilities, you will maximize executive time and empower the broader team to achieve its business objectives. This position is an individual contributor role reporting to the Vice President of Enterprise Customer Success, Americas. Responsibility Provide high-level executive support by managing executive calendars, scheduling internal and external meetings, and resolving scheduling conflicts Deliver strategic calendar gatekeeping based on an innate understanding of key priorities and executive objectives Participate in executive meetings when appropriate, record meeting notes, and follow up on action items Prepare presentation materials using Google Slides and office software for internal executive meetings and external engagements Assist in organizing departmental All Hands meetings, off-site sessions, and virtual team-building events Arrange end-to-end domestic and international travel logistics Identify potential roadblocks and prioritize executive time based on a holistic awareness of company-level priorities Prepare expense reports and manage monthly credit card purchasing reporting in a timely manner Create and manage purchase orders to support departmental needs Maintain updated team alias distribution lists, Slack channels, and shared repository folders Manage onboarding schedules and logistics for new senior leaders joining the department Perform administrative projects and act as a back-up support resource for other Executive Assistants as needed
