About the role
We are looking for an experienced, highly organised and hands-on Front of House and Office Assistant to support our busy London office.
As the first point of contact for employees, visitors and external partners, you will provide a consistently professional, welcoming and efficient front-of-house service. Alongside reception responsibilities, this is a practical role involving the regular handling of deliveries, unpacking and distributing food and office supplies, replenishing kitchens and stationery areas, preparing meeting rooms and helping keep the workplace organised across multiple floors.
The role also includes travel coordination and administrative support for senior leaders. We are looking for someone who takes equal pride in delivering a polished visitor experience and completing the practical tasks that keep an office running smoothly.
Responsibilities:
•
Act as the first point of contact for visitors, employees and incoming calls, providing a professional and welcoming experience.
•
Manage visitor registration, reception enquiries, meeting room bookings, refreshments and external meeting preparation.
•
Help maintain a safe, organised and well-presented office across all floors.
•
Monitor and order office, kitchen and stationery supplies, including weekly food and consumables orders for the London, Dublin and Cork offices.
•
Support travel arrangements through Navan, including international visitors, new starters and last-minute changes.
•
Receive, move, unpack and distribute regular food, drink, stationery and office-supply deliveries across multiple floors.
•
Manage post, couriers and other office deliveries.
•
Coordinate maintenance of coffee machines and other office equipment, liaising with suppliers when required.
Must haves:
•
Previous experience in corporate reception, front-of-house or office coordination.
•
Available to work 5 days a week in the office.
•
Proactive and practical, with the ability to resolve day-to-day issues independently.
•
Strong attention to detail and sound judgement when handling confidential information.
•
Comfortable using workplace systems to coordinate diaries, travel, visitors, rooms and orders.
•
Highly organised, with the ability to prioritise competing requests and meet deadlines.
•
A professional, friendly and service-focused approach when dealing with employees, visitors and senior stakeholders.
•
Comfortable regularly receiving, moving, unpacking and distributing office deliveries and supplies, using appropriate equipment and following manual-handling guidance.
