Job Description Summary:
Job Summary
The Sr. Facilities Manager is the accountable owner of the reactive and program repair and maintenance (R&M) vendor network that supports Option Care Health’s non-cleanroom facilities portfolio. This role runs the day-to-day performance of reactive service vendors and recurring program vendors, owns the maintenance and repair (R&M) program budget, leads emergency management and escalation, and builds and maintains the scopes of work for recurring programs.
The role is highly analytical and system-driven. The Sr. Manager uses the CMMS as the system of record for work orders, vendor performance, and spend, and translates that data into vendor decisions, scope refinements, cost controls, and clear reporting to Facilities leadership. The Sr. Manager partners closely with Operations, Patient Care leadership, Finance, Procurement, Construction & Design, Real Estate, Facilities Controlled Environments, and external vendors to keep sites safe, compliant, and operating.
Job Description:
Job Responsibilities (listed in order of importance and/or time spent)
•
Own the reactive and program R&M vendor model, including vendor selection, onboarding, performance management, escalation, and exit decisions across all trades.
•
Manage reactive service delivery: ensure work orders are dispatched, prioritized, completed, and closed within defined service levels, with clear ownership, aging control, and escalation paths.
•
Manage recurring program vendors (e.g., HVAC, refrigeration, generators, fire/life safety, pest control, janitorial, and exterior/snow/landscaping), ensuring services are delivered on schedule, to scope, and with documented proof of service.
•
Build, write, and maintain scopes of work for recurring programs, defining service frequencies, specifications by location type, and measurable performance standards; eliminate subjective or open-ended language and lead periodic scope reviews and re-bids.
•
Serve as the financial owner of the R&M program: develop and manage the annual budget, forecast and track spend by trade, location, and vendor, review and approve invoices, manage accruals with Facilities Analyst, AP, & Finance, and drive cost-avoidance and savings initiatives.
•
Lead emergency management for the facilities portfolio, including severe weather preparedness, outage and flooding response, vendor mobilization, executive and site communication, and post-event recovery and reporting.
•
Own CMMS discipline: ensure all work, assets, vendors, and costs are accurately captured and routed through the CMMS; define workflows, data standards, reporting, and dashboards; and partner on system configuration and continuous improvement.
•
Analyze CMMS and financial data to identify trends, recurring failures, repeat-call locations, aging work orders, SLA performance, PM compliance, and spend variances; convert findings into corrective actions and recommendations.
•
Establish vendor governance, including onboarding standards, insurance and compliance requirements, rate and pricing review, scorecards, and Quarterly Business Reviews (QBRs).
•
Provide recurring operational and executive reporting on program performance, vendor performance, emergencies, spend versus budget, and risk.
•
Serve as an escalation point for Operations and Patient Care leadership on facility issues that affect patient care or business continuity, ensuring timely communication and resolution.
•
Develop standard operating procedures, checklists, and playbooks that standardize how work is requested, approved, executed, and closed out.
•
Support capital planning by identifying end-of-life assets and recommending repair-versus-replace decisions based on asset history and cost data.
•
Lead, coach, and develop facilities managers, coordinators and/or analysts supporting the program.
Supervisory Responsibilities
•
This position has direct supervisory responsibilities, including hiring, performance management, and development of facilities managers, coordinators and/or analysts supporting the program.
