• Coordinate field execution excellence rhythms. Maintain the call calendar and workback schedule; coordinate participation, agenda inputs, data-pack contributions, and pre-reads; confirm readiness with content owners; and ensure decisions and follow-up actions are captured and routed.
• Manage monthly rhythm-of-business workbacks. Maintain the preparation schedule for monthly business reviews and related operating forums. Track deliverables, dependencies, review checkpoints, and approvals; follow up on missing inputs; and surface risks early enough for owners to respond.
• Operate the team’s request-intake process. Provide a consistent entry point for field questions about metrics and reporting, requests for analysis, and reporting-development needs. Clarify the business question, intended audience, timing, and required outcome; identify duplicates or existing resources; and route requests to the appropriate owner.
• Maintain a transparent backlog and request status. Keep requests organized with clear owners, agreed priorities, next steps, and target dates. Facilitate regular triage with team leads, communicate status to requestors, and escalate capacity conflicts rather than independently committing the team to new work.
• Drive action tracking and follow-through. Maintain a shared view of commitments from field calls, business reviews, and team discussions. Prompt owners for updates, identify stalled actions or unclear ownership, escalate blockers, and confirm that outcomes are documented and communicated before closing items.
• Coordinate operational communications. Partner with communications and workstream owners to prepare reminders, readiness updates, action summaries, and process guidance. Ensure the right stakeholders receive clear, timely information and can find current materials in agreed shared locations.
• Maintain repeatable processes and team knowledge. Keep workback templates, checklists, ownership maps, reporting-resource directories, and approved FAQs current. Document handoffs and backup procedures to reduce reliance on individual inboxes, chats, or personal knowledge.
• Improve process reliability and efficiency. Identify recurring delays, incomplete requests, duplicate effort, and manual coordination tasks. Recommend practical improvements and use approved tools and automation, with appropriate support, to simplify execution. Track basic process-health measures such as readiness, routing timeliness, and overdue actions.
