Position Type: Part Time
Location: Philippines (Remote)
Schedule: Monday–Friday, 9:00 AM–1:00 PM EST, with flexibility for occasional schedule adjustments based on business needs
Salary Range: P30,000 - P35,000

About the Role
As an Executive and Operations Assistant, you will serve as a strategic right hand to our client, ensuring day-to-day operations run smoothly and efficiently. This role will primarily focus on executive support, project coordination, logistics management, and administrative operations, allowing the client to stay focused on high-impact storytelling and content creation.
While the role will occasionally provide support for podcast production and creative projects, the creative component is considered secondary to the core executive and operations assistant responsibilities. Success in this role will come from exceptional organization, proactive problem-solving, strong communication skills, and the ability to manage multiple projects, competing priorities, and deadlines simultaneously in a fast-paced, entrepreneurial environment. The ideal candidate is highly organized, adaptable, and able to maintain attention to detail while effectively balancing multiple moving parts.
Responsibilities
Project Coordination & Operations
•
Take ownership of projects from start to finish, ensuring deadlines, priorities, deliverables, and follow-ups are effectively managed.
•
Create, implement, and maintain structured systems, processes, and project management frameworks to keep projects organized, track progress, and ensure accountability.
•
Manage multiple projects and competing priorities simultaneously while maintaining attention to detail and ensuring timely completion.
•
Facilitate communication and collaboration with freelancers, contractors, and creative partners as needed.
•
Identify opportunities to improve processes, organization, and overall operational efficiency.
•
Provide timely updates and progress reports to the client regarding ongoing initiatives, project status, and key deliverables.
Executive & Administrative Support
•
Manage the client’s calendar, meetings, scheduling, and day-to-day administration as needed.
•
Manage files, documents, digital records, and administrative systems efficiently.
•
Record, categorize, and maintain expense reports and related documentation.
•
Handle day-to-day administrative tasks and operational support to ensure seamless workflow.
•
Serve as a key point of coordination between the client and external stakeholders, collaborators, and vendors.
•
Support the client with follow-ups, correspondence, and other administrative tasks as needed.
Creative & Content Support (As Needed)
•
Assist with podcast and media projects, providing basic video/audio editing (Adobe Premiere, Final Cut, Audacity, or similar)
•
Offer creative support for other content projects, including graphic design or copywriting as needed
•
Organize and manage creative assets and project files
•
Follow client direction while applying independent creative judgment
Competencies and Qualifications
Must-Have
•
2–4 years of experience in operations, project management, administrative support or related roles
•
Strong experience managing executive priorities, schedules, appointments, and administrative coordination.
•
Strong organizational skills and attention to detail
•
Comfortable using productivity and communication tools (Slack, WhatsApp, Google Workspace, or similar)
•
Familiarity with creative projects, journalism, photography, or media production
•
Excellent written and verbal communication skills
•
Ability to work independently and manage multiple priorities
•
Self-starter and can work independently without being micromanaged
•
Experience coordinating/delegating tasks
Nice-to-Have
•
Experience working with solopreneurs or creative professionals
•
Familiarity with podcast production workflows
•
Experience with multiple creative projects simultaneously
•
Knowledge of social media content management
•
Degree in journalism, media, communications, or related areas
•
Basic skills in video/audio editing, graphic design, or copywriting
