About the role
Position Description:
This is a P/T position. Hours are:
5:30 PM -7:45 PM to Start
After Feb. 21st, hours will be 5:30 PM - 9:45 PM
Min. Starting Hourly Pay:18.26
Responsible for the day-to-day administration of the Excel Center’s night school program, including reception desk, to facilitate organizational effectiveness and efficiency within the school.
Responsibilities
Essential Duties and Responsibilities:
•
Responsible for receptionist duties which includes welcoming visitors and answering phones in a polite and friendly manner, keeping details and accurate records of visitor requests and calls received. Ensures the reception area remains clean and tidy at all times.
•
Assists with creating event agendas, processing contracts and invoices, planning and managing orders (promotional and other) and coordinating details with vendors and/or attendees.
•
Receives all deliveries, sorts and distributes incoming mail, taking inventory of supplies, and restocking as needed.
•
Operates standard office equipment on a regular basis including fax machine, copy machine, and a computer.
•
Provides clerical support through data entry, filing, collating, and sorting, using appropriate software programs, if needed.
•
Responsible for the reasonable purchasing of office food and beverages, supplies, furniture, and equipment.
•
Under the direction of the Events Manager, assists with all logistical, administrative, and operational details of various events.
•
Assists with supervision of event volunteers and support team required for events.
•
Identifies and resolves problems in a timely manner, then gathers and analyzes related information.
•
Assists the Events Manager to coordinate any marketing or design projects associated with events.
•
Orders supplies for Corporate Events department.
•
In a professional manner, works with all levels of management, teams, volunteers, and vendors.
•
Develops processes and procedures that are efficient and cost-effective such as creating a supply order tracker, vendor list, etc.
•
Must be able to quickly acquire a thorough knowledge of policies and procedures and understand the mission, vision, and culture of the organization.
•
May also provide administrative support for additional departments, as needed.
•
Maintains regular and consistent in-person attendance.
•
Performs other related duties, as needed.
Requirements
Minimum Qualifications (Education, Experience, Skills):
•
2 years’ experience as an administrative professional in a corporate setting preferred.
•
Experience managing an office environment, preferred.
•
Strong customer service orientation.
•
Must be proficient in Microsoft Word, Excel, PowerPoint and Outlook.
•
Ability to multi-task and work in a fast-paced environment.
•
